2019 Exhibitor Application

Exhibit Space costs $400 for the length of the convention, and includes:

  • 10'x10' area
  • Two (2) Badges 
  • 8′ back drape and 3′ side drape (black)
  • One (1) 6′ table with skirt
  • Two (2) chairs 
  • One (1) small wastebasket.

Additional Badges are available for $10 each. The hall is not carpeted. Electricity must be purchased separately. No parking vouchers or parking passes are available.  No signage will be provided; vendors should bring their own banners/table identification.

If all spots are filled, you will be added to the waitlist. If you would like to exhibit in a space larger than 20'x20', confirm use an exhibit stand/display of your own, or have any other questions, please email Callista@AnimangaUSA.com.

Responses to applications may take up to four (4) weeks. Submitting an application does not guarantee approval. You will be refunded if your application cannot be accepted. Animanga reserves the right to approve or reject applications at its discretion. You will be notified about further registration requirements should we feel you are ideal candidate for exhibition. If you do not qualify for exhibitor registration, please use the Attendee or Industry Registration Form. If you are not sure if you qualify, please select "Other" in the Category Section in the form.

Booth assignments will be announced closer to the show date. Returning vendors will have placement priority. Other vendor spaces are assigned on a first-come, first-serve basis according to application submission, review and approval. Discrepancies and incomplete forms may be subject to assignments placed on hold. Assignments may be subject to changes. If it's been over a month since you applied and haven't received an acceptance email, please contact us, as this is likely an error.

Refund Policy

Can I get a refund if I can't come?

If Animanga receives such notice of cancellation on or before January 31, 2019 (the Early Cancellation Deadline), Animanga will issue a full refund.   

If Animanga receives such notice of cancellation on or before March 31, 2019 (the Late Cancellation Deadline), Animanga will retain fifty percent (50%) of the registration fee as a cancellation fee and will return the remaining fifty percent (50%) to the Vendor.

If Animanga receives such notice on or after April 1, 2019, Animanga may retain all payments already received, regardless of whether the space is resold or otherwise reassigned.  If the Vendor fails to staff their booth or otherwise forfeits the space, then one hundred percent (100%) of the registration fee is due and non-refundable. Animanga reserves the right to resell or otherwise reassign canceled or forfeited spaces at its own discretion.

I have to submit payment immediately?

Yes, you must pay the total Animanga 2019 Exhibitor fee immediately upon applying. All fees paid are non-refundable except as set forth in the above Refund Policy and in the case of Application Rejection. Fees are transferrable in the case of postponement to next year's convention.

How do we get our Badges?

You may pick up your badges during set up hours after claiming your space. All exhibitors must check in with the Event Coordinator prior to occupying their spaces to receive their convention information and badges. Those who fail to check in by the end of set up hours for the convention will forfeit their spaces, unless they have made prior arrangements for a later check-in with the Event Coordinator. 

Additions (Electricity/WiFi/Carpet)

Requests for electrical connection, Wi-Fi, and carpet will be available in a separate form.

Food and Drink

The sale of food and drinks by an exhibitor is strictly prohibited. This includes, but is not limited to “Pocky” brand snacks and “Ramune” brand soft drinks. Any Exhibitor found selling food and/or drinks will be asked to remove it from the Exhibit Hall. Any Exhibitor found giving away samples of food and/or drinks without prior permission will be asked to remove it from the Exhibit Hall. A violation of this policy may result in Exhibitor’s expulsion from Animanga 2019 with no refund.

 

Copyright Laws

Animanga has a strict no bootleg policy. Any Exhibitor found selling bootleg material will be asked to remove it from the Exhibit Hall. A violation of this policy may result in Exhibitor’s expulsion with no refund.

Appropriate Conduct

Exhibitor agrees to refrain from:

  • shouting to bring attention to Exhibitor’s wares,
  • use of a public address system to bring attention to Exhibitor’s wares,
  • excessive noise (such as the use of large drums) to bring attention to Exhibitor’s wares

Animanga reserves the right to remove anyone whose behavior is disruptive to staff, other exhibitors, and convention members. If another member of the vendor's staff remains, the remaining staff may continue to operate their space, otherwise they will be forced to vacate their space and remove their merchandise. Failure to comply with the above statements and warnings will result in removal and forfeiture of all payments without refund.

Badges must be worn (or visibly on your person) at all times. Security is allowed to check badges at random. 

Inappropriate and Adult Material

Exhibitor may not display material depicting nudity or sexual conduct or products intended for sexual congress unless they are blinded (covered) or displayed in such a way that they cannot be viewed or be accessible to minors in any way. It is Exhibitor’s responsibility to verify the age of each individual requesting to view or purchase adult material. The acceptability of displays of adult material is at the sole discretion of the Event Coordinator.

Animanga reserves the right to require Exhibitor to remove materials from public display if they are not deemed appropriate. Any materials determined to be inappropriate for the community may not be sold at Animanga 2019 under any circumstance. A violation of this policy may result in Exhibitor’s expulsion from Animanga 2019 with no refund.

Subletting

The subletting of exhibit space at Animanga 2019 without the prior permission is prohibited. A violation of this policy may result in Exhibitor’s expulsion from Animanga 2019 with no refund.

Taxes and Licenses

Vendors will be solely responsible for obtaining any tax identification numbers and paying all taxes, license fees, and any charges that will come due to any governmental authority in connection with their activity at Animanga. Exhibitor must provide management with any such documentation.

Promotional Rights

Vendors grant Animanga the right to list their name in our advertising and on our website and link to their website. Animanga grants the same reciprocal right to the Vendor.

Security & Liability

Please be aware that though the Vendor's Area is located in a lockable space, there will be no security monitoring the room after closing hours. Vendors are responsible for securing their own works and material when not present at their spaces. Animanga is not responsible for the loss or damage to the material and works of artists or exhibitors. The exhibitor assumes the entire responsibility and liability for losses, damages, and claims arising out of exhibitor’s activities on the premises and will indemnify, defend, and hold harmless the venue, its owner, and its management company, as well as their representative agents, servants, and employees from any such losses, damages, and claims. Neither Animanga or the venue, nor any of their representatives will be responsible for any injury, loss or damage that may occur to the vendor or to the vendor’s associates or property from any cause whatsoever.

The vendor shall obtain, at his or her own expense, adequate insurance against such injury, loss, or damage, and provide proof of said insurance to Animanga prior to the convention dates. Animanga shall not be liable for failure to perform its obligations under this agreement as a result of strikes, riots, acts of God, or any other cause of any kind whatsoever not within the control of Animanga. Animanga shall not be liable for any injury whatsoever to the property of the exhibitor or the persons conducting or otherwise participating in the conduct of the exhibit.
