Exhibit Space costs $575 for the length of the convention, and includes:
- 10'x10' area
- One (1) Badge (per 10'x10')
- 8′ back drape and 3′ side drape
- One (1) 6′ table
- One chair per person
- One (1) small wastebasket.
You may also opt for Bare Space Only, for exhibitors who wish to use their own booth build. Includes one (1) badge. The Bare Space option best suits exhibits with unique display designs that may not require tables or drapes. For example, a game developer may choose the bare space option to exhibit gaming kiosks, or an exhibitor may choose the bare space option if they wish to exhibit aisles of figurines in large display cases. If you choose the Bare Space option with your initial application and find yourself needing furniture as the convention date approaches, you can easily upgrade to the Basic Booth option or request additions with a separate “Furniture and Utilities” form available shortly.
Exhibitors may purchase additional discounted badges for $30, granting admission for all convention days and set up/break down. The Exhibit Hall is NOT carpeted.
If all spots are filled, you will be added to the waitlist. If you would like to exhibit in a space larger than 20'x20', confirm use an exhibit stand/display of your own, or would like to request an Animanga 2018 Exhibition Pack (which includes details on power, program book advertising, and more), please email Callista@AnimangaUSA.com.
Responses to applications may take up to four (4) weeks. Submitting an application does not guarantee approval. You will be refunded if your application cannot be accepted. Animanga reserves the right to approve or reject applications at its discretion. You will be notified about further registration requirements should we feel you are ideal candidate for exhibition. If you do not qualify for exhibitor registration, please use the Attendee or Industry Registration Form. If you are not sure if you qualify, please select "Other" in the Category Section in the form.
FAQ & GUIDELINES
WHEN IS SET UP/Break down?
August 1st and 2nd are for move-in, August 6th is move out. Tentative hours. All materials must be removed by 5 PM Monday, August 6, 2018. Anything left behind will be thrown out or become the property of Animanga USA. Animanga USA reserves the right to change the hours of operation.
HOW DO WE GET OUR EXHIBITOR BADGES?
Exhibitor Badges can be picked up at all hours of move in days, and in express lanes at-con.
ADDITIONS ( electricity/WIFI/carpeT)
Requests for electrical connection, Wi-Fi, and carpet will be available in a separate form shortly. At-con requests are subject to a fee.
Only the listed point of contact on the contract can cancel the table. To cancel your table, send an email to Callista@AnimangaUSA, or via fax to 646.490.9810. Cancellations received after May 31, 2018 will not be refunded.
All exhibitors/dealers must check in with the Event Coordinator prior to occupying their tables to receive their convention information and badges. All tables will be assigned and labeled. Those who fail to check in by 10PM Friday of the convention will forfeit their tables, unless they have made prior arrangements for a later check-in with the Event Coordinator. Forfeited tables will not be refunded.
Food and Drink
The sale of food and drinks by an exhibitor is strictly prohibited. This includes, but is not limited to “Pocky” brand snacks and “Ramune” brand soft drinks. Any Exhibitor found selling food and/or drinks will be asked to remove it from the Exhibit Hall. Any Exhibitor found giving away samples of food and/or drinks without prior permission will be asked to remove it from the Exhibit Hall. A violation of this policy may result in Exhibitor’s expulsion from Animanga 2018 with no refund.
Animanga has a strict no bootleg policy. Any Exhibitor found selling bootleg material will be asked to remove it from the Exhibit Hall. A violation of this policy may result in Exhibitor’s expulsion with no refund.
Exhibitor agrees to refrain from:
- shouting to bring attention to Exhibitor’s wares,
- use of a public address system to bring attention to Exhibitor’s wares,
- excessive noise (such as the use of large drums) to bring attention to Exhibitor’s wares
Animanga USA reserves the right to remove anyone whose behavior is disruptive to staff, other exhibitors, and convention members. If another member of the artist’s staff remains, the remaining staff may continue to operate their space, otherwise they will be forced to vacate their space and remove their merchandise. Failure to comply with the above statements and warnings will result in removal and forfeiture of all payments without refund.
Badges must be worn (or visibly on your person) at all times. Security is allowed to check badges at random.
INAPPROPRIATE AND ADULT MATERIAL
Exhibitor may not display material depicting nudity or sexual conduct or products intended for sexual congress unless they are blinded (covered) or displayed in such a way that they cannot be viewed or be accessible to minors in any way. It is Exhibitor’s responsibility to verify the age of each individual requesting to view or purchase adult material.The acceptability of displays of adult material is at the sole discretion of the Event Coordinator.
Animanga reserves the right to require Exhibitor to remove materials from public display if they are not deemed appropriate. Any materials determined to be inappropriate for the community may not be sold at Animanga 2018 under any circumstance. Examples of inappropriate materials include, but are not limited to material promoting hate speech or hate groups. A violation of this policy may result in Exhibitor’s expulsion from Animanga 2018 with no refund.
The subletting of exhibit space at Animanga 2018 without the prior permission is prohibited. A violation of this policy may result in Exhibitor’s expulsion from Animanga 2018 with no refund.
Taxes and Licenses
Artists and exhibitors will be solely responsible for obtaining any tax identification numbers and paying all taxes, license fees, and any charges that will come due to any governmental authority in connection with their activity at Animanga. Exhibitor must provide management with any such documentation.
Artists and exhibitors grant Animanga USA the right to list their name in our advertising and on our website and link to their website. Animanga USA grants the same reciprocal right to the Artist.
Security & LIABILITY
Please be aware that though the Dealers Area is located in a lockable space, there will be no security monitoring the room after closing hours. Vendors are responsible for securing their own works and material when not present at their tables. Animanga USA is not responsible for the loss or damage to the material and works of artists or exhibitors.
The exhibitor assumes the entire responsibility and liability for losses, damages, and claims arising out of exhibitor’s activities on the premises and will indemnify, defend, and hold harmless the venue, its owner, and its management company, as well as their representative agents, servants, and employees from any such losses, damages, and claims.
Neither Animanga USA or the venue, nor any of their representatives will be responsible for any injury, loss or damage that may occur to the vendor or to the vendor’s associates or property from any cause whatsoever.
The vendor shall obtain, at his or her own expense, adequate insurance against such injury, loss, or damage, and provide proof of said insurance to Animanga USA prior to the convention dates. Animanga USA shall not be liable for failure to perform its obligations under this contract as a result of strikes, riots, acts of God, or any other cause of any kind whatsoever not within the control of Animanga USA. Anime USA shall not be liable for any injury whatsoever to the property of the exhibitor or the persons conducting or otherwise participating in the conduct of the exhibit.
